1. Who we are
TeamEase is an attendance, leave and team management service for businesses in India. It is made up of the TeamEase mobile app for Android and iPhone, the web admin panel at teamease.co.in/app, and this website. In this policy "TeamEase", "we" and "us" mean the team that runs the TeamEase service.
2. Your employer and us
TeamEase is used by companies (your "employer") to record their employees' attendance. For employee data, your employer is the Data Fiduciary: it decides why your attendance is recorded and which rules apply, such as whether a selfie is needed. TeamEase is the Data Processor and handles that data only on your employer's instructions and under this policy.
For data about company administrators, people who register a company, and people who contact us through this website, TeamEase is the Data Fiduciary.
3. What we collect
Employees using the app
| Data | When and why |
|---|---|
| Name, mobile number, email (if given), employee code, branch, department, designation, reporting manager, shift, date of joining and exit | Added by your employer to set up your account and route your requests. |
| Selfie photo | Only at the moment you check in or out, if your employer requires a selfie, to prove the punch is yours. |
| GPS location and its accuracy | Only at the moment you check in or out, to confirm you are at your work location or, for field staff, to record where the punch happened. |
| Punch time, device ID, app version, and integrity checks (mock-location apps, rooted or jailbroken phone, changed phone clock) | To record attendance accurately, keep one approved phone per employee and flag possible fraud. |
| Leave requests, attendance corrections, the reasons you give and approval notes | To process your requests. |
| Notification token (if notifications are on) | To tell you when a request is approved, rejected or needs your attention. |
| Consent records (policy version, time, IP address) | To prove you accepted, or withdrew, this notice as the DPDP Act requires. |

Website visitors
If you send us a message, we collect what you enter (name, company, mobile number, email, team size, message) and your IP address to prevent spam. This website does not use advertising or tracking cookies.
4. What we don't collect
- We do not track your location in the background or between punches.
- We do not read your photo gallery, contacts, messages or other apps. The camera opens only for the punch selfie.
- We do not use passwords. You sign in with a one-time code (OTP) sent to your mobile number.
- We do not sell personal data, show ads, or track you across other companies' apps and websites.
5. How we use data
- To record attendance, worked hours, late marks, overtime, leave and holidays for your employer.
- To produce the reports and payroll exports your employer downloads.
- To detect and prevent attendance fraud, such as fake GPS or punching for someone else.
- To sign you in securely, send notifications and give support.
- To reply to messages sent through this website.
- To meet legal obligations and keep the service secure.
We process employee data on the basis of the consent you give in the app before your first punch, and for the legitimate employment purposes allowed under the DPDP Act. You can withdraw consent at any time (see section 9).
6. Who we share it with
- Your employer: HR, admins and your reporting manager in your company can see your attendance, punch photos, locations and requests. Each company sees only its own people.
- Service providers who help us run TeamEase, only as needed: our cloud hosting provider, an SMS provider to send OTP codes, and Google Firebase or Apple to deliver notifications. They may not use the data for their own purposes.
- TeamEase support can open your company's data only after your employer grants access, and that access ends automatically.
- Authorities, when required by law.
7. How long we keep it
- Punch selfies are deleted automatically after your employer's retention period, which is 6 months unless your employer changes it.
- Attendance, leave and payroll records are kept for as long as your employer needs them for employment, payroll and legal record-keeping, and are deleted when your employer's account is closed.
- Your login is removed as soon as you delete your account (see section 10).
- Website messages are kept for up to 2 years.
- Backups are kept for 14 days and then overwritten.
8. Security
All traffic between the app, the admin panel and our servers is encrypted with HTTPS. Sign-in uses one-time codes, sessions on the phone are stored in the phone's secure storage, company data is kept separate, and important changes are written to an audit log. No system is perfectly secure, but we work to protect your data and will notify affected people and the Data Protection Board of India of a personal data breach as the law requires.
9. Your rights
Under the DPDP Act you can:
- See your data: in the app, open More → My data & privacy → See my data.
- Correct it: Correct my data sends a request to your employer.
- Erase it: Erase my data, or delete your account.
- Withdraw consent: Withdraw consent. You will not be able to punch until you accept again.
- Raise a grievance: Raise a grievance in the app, or contact us below.
- Nominate someone to use these rights for you in case of death or incapacity, by contacting us.
We respond to requests within 30 days. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
10. Deleting your account
You can delete your TeamEase account at any time from the app, or by sending us a request from the web. Deleting your account removes your login, name, mobile number and email, signs you out of every phone and ends your access to every company. Your employer keeps your past attendance records for its payroll and legal needs, as described in section 7.
11. Children
TeamEase is meant for people at work and is not intended for anyone under 18. We do not knowingly collect data about children.
12. Changes to this policy
If we change this policy in a way that matters, we will update the version and date above, and the app will ask you to read and accept the new notice before your next punch.
13. Contact & grievances
For privacy questions, data requests or grievances, use Raise a grievance in the app, or send us a message from the contact form with "Privacy" in your message. We reply within one working day and resolve requests within 30 days.
If your question is about how your employer uses your attendance data, you can also contact your employer's HR team directly.
